Booking auto transport is only part of the process. A little preparation before the driver arrives can make pickup faster, help document your vehicle’s condition, and reduce last-minute surprises. Whether you are moving from Orange County, sending a vehicle to another state, or buying a car from a distant seller, use this checklist before pickup day.
1. Wash the exterior and photograph the vehicle
A reasonably clean car makes existing scratches, dents, and chips easier to identify. You do not need a professional detail, but remove heavy dirt from the body and windows. Take clear, dated photographs of all four sides, the roof if accessible, wheels, windshield, and any pre-existing damage. Save the pictures somewhere you can access at delivery.
The driver will normally inspect the vehicle and record its condition on a bill of lading or inspection report. Review that document carefully before signing. Your photos are useful supporting records, but they do not replace the carrier’s inspection paperwork.
2. Remove loose belongings and valuables
Take out cash, electronics, important documents, removable accessories, toll transponders, and other valuables. Personal belongings are generally not covered by a motor carrier’s cargo insurance, and some carriers prohibit them entirely. If you have been told a small amount of personal property is permitted, confirm the exact rules with your transport coordinator and the assigned carrier before loading anything.
Remove or secure detachable roof racks, bike carriers, aftermarket spoilers, and other accessories that could come loose or change the vehicle’s height. If the car has unusually low ground clearance or modifications, mention them before dispatch.
3. Check the battery, tires, and fluids
The vehicle should start, steer, brake, and roll unless you have specifically booked inoperable vehicle transport. Check that the battery has enough charge, tires are inflated, and there are no significant fluid leaks. Tell your coordinator about any mechanical problem, even if the car can still move a short distance. A carrier may need special loading equipment, and undisclosed issues can affect the price or pickup arrangements.
4. Keep fuel low, but not empty
For most standard shipments, roughly one-quarter tank is a useful target: enough to load and unload the vehicle without carrying unnecessary fuel weight. Follow your assigned carrier’s instructions if they differ. Do not intentionally run the tank empty.
5. Prepare keys, alarms, and vehicle access
Have a working key available for the driver. Disable parking or security features that might prevent loading, and explain any unusual starting procedure. If you use an electric vehicle, confirm the battery-charge requirements with the carrier and make sure it can be moved safely at both ends. Record the mileage before pickup.
6. Plan a safe meeting point
“Door-to-door” service usually means the carrier gets as close as it can safely and legally reach. Large transport trailers may not be able to enter narrow residential streets, low-clearance areas, gated communities, or apartment complexes. Be prepared to meet at a nearby open parking lot if necessary.
Make sure someone authorized to release the vehicle is present, has the keys, and can review the condition report. If another person will handle pickup, provide their name and contact information ahead of time.
Pickup-day checklist
- Photograph the car in good light.
- Remove valuables and loose accessories.
- Check tire pressure, battery, and leaks.
- Leave approximately a quarter tank of fuel, unless instructed otherwise.
- Have keys and a working contact number ready.
- Review the bill of lading before signing.
- Confirm the meeting location with the driver.
What if my vehicle is not running?
Tell your shipping coordinator before you book. Inoperable vehicles can often be shipped, but they may require a winch or other equipment and can cost more. The important distinction is whether the vehicle can roll, steer, and brake, even if the engine does not start.
